Go to ConsoleSettingsData & privacy and choose Data requests.
- Open the request. Open ones are listed first, soonest due.
- Under Identity, check who they are using details you already hold, choose How you checked and select Record the check.
- Follow How to answer it: find their data, then send them a copy, correct it, erase it or stop the use they object to.
- Set Status to Completed and write What you did, or to Refused and write why. Select Complete it or Refuse it.
If they gave an email, they're emailed the outcome with their reference.
Good to Know
- Access requests are answered within 40 days, and the rest within 30. Overdue ones are marked.
- Assign a request with Assigned to so one person owns it.
- Add a note keeps a note for colleagues. Email it to them replies to the person in your organisation's name.
- A confirmed email proves the address, not the person. Never record an ID number in the note.
If Something Goes Wrong
- Completed can't be chosen. Record the identity check first.
- There's no email to reply to. Tell them the outcome the way they asked, by phone or letter.
- You can't change anything. Owners and Admins handle data requests. Others with access can only read them.
