This guide explains how it all fits together. For one job at a time, the short articles in this topic have the exact steps.

Personal, team and organisation workspaces in Agoo Forms, the five roles, invitations and how many editors each level allows.

Every form belongs to a workspace. Switch between yours from the workspace switcher.

WorkspaceWho it's forMembers
PersonalYou alone. Made the first time you sign in, named after youJust you. To share forms, make a team workspace
TeamA choir, a committee, an alumni group, a small businessAnyone you invite by email

Inside a workspace, forms can be kept in folders.

Roles

RoleWhat they can doCounts as an editor
OwnerEverything: the workspace, members, billing, data, and deleting the workspaceYes
AdminMembers and every form; can't delete or hand over the workspaceYes
BuilderMakes forms, edits and publishes their own and those shared with them, reads their responsesYes
AnalystReads the responses of forms shared with them, and exports when allowedNo
BillingLooks after payingNo

Seeing sensitive answers is separate: Owners can, and on Forms Team others can be allowed it form by form. On Forms Free and Forms Plus, every editor sees every form; on Forms Team you can share each form with chosen people and decide who exports and who sees sensitive answers (Share a Form with People in Your Workspace). Owners and Admins can move any form to the trash; a Builder can move those they're allowed to change, and on Forms Team only the ones they made (Move a Form to the Trash, Restore It or Delete It).

Invitations

Owners and Admins invite people from Members by email, choosing their role. The invitation's email opens a page showing the workspace, who invited them and what the role can do; they sign in with the address it went to and join. Invitations can be withdrawn or sent again. Role changes and removals are emailed to the person and take effect at once.

Each level has a number of editor seats: 1 on Forms Free, 3 on Forms Plus and 10 on Forms Team. Analysts and Billing members are free.

Your Organisation's Workspace

An Agoo organisation has one Forms workspace, named after the organisation.

  • Opening it. In the Console, choose Agoo Forms in the menu. The first time, Set up Agoo Forms makes the workspace; after that its forms, builder, sharing and responses are right there in the Console (Agoo Forms in the Console), and Open on agooforms.com takes you to the same workspace on the web. You can also open it from the workspace switcher on agooforms.com.
  • Who sees Agoo Forms in the Console. Owners, Admins, Site admins and HR by default (the Agoo Forms permission in Console → Settings → Roles). What each person can do inside the workspace comes from their role there.
  • Who's in it. The organisation's Owners and Admins are always its Owners and Admins: make someone an Admin in the Console and they're in at once; when they stop being one, they leave its Owner or Admin place. Anyone else from the organisation is invited by name from Members, as a Builder, an Analyst or Billing. Someone who leaves the organisation leaves its workspace at once.
  • Editors. The organisation's Owners and Admins count towards the level's editor seats but always keep their place; the seats limit the people you add as editors. When the organisation moves to a lower level, editors added by name beyond the new seats become Analysts until there's room again.
  • Signing in. Use your Agoo account at agooforms.com: the address you use for Agoo at work. Your organisation's sign-in rules apply there too. Owners and Admins confirm it's them with their authenticator app, as in the Console; where the organisation requires Google or Microsoft, sign in that way. Before Agoo Forms opens to everyone, people whose role includes Agoo Forms can still sign in to reach their organisation's workspace.
  • Its level comes from the organisation's plan, or a Forms Plus or Forms Team add-on in Billing: see Levels and limits. It changes when the plan does.
  • Your organisation's data. The organisation's full export includes its forms, responses and the files sent with them, and deleting the organisation deletes them too.
