Go to ConsolePeopleDirectory, open the person and choose the HR record tab.
- In Statutory numbers, select Record a number.
- Choose its Kind. For Other, say What it is.
- Type the Number, and the Issued and Expires dates if it has them.
- Select Record.
Good to Know
- Each number is checked against its kind, then kept encrypted. Everyone, the person included, sees only the last four.
- A Ghana Card PIN looks like GHA-123456789-0. Since April 2021 it has also been the person's TIN, so record a TIN only for an older one.
- To change a number, select Replace beside it. Changes are in the audit trail without the number.
- People can't change their own numbers. They ask HR from My record, and the request arrives in Change requests.
If Something Goes Wrong
- It says the number is already on someone's record. The same number can't be on two people. Check whose record has it and correct the mistake there.
- The number is refused. It doesn't match the form of its kind. Check it against the document, with the letters and digits as printed.
- You can't see Record a number. Your role doesn't include HR records. HR, Owners and Admins keep them.
