Find Someone to See a Waiting Visitor

Use Needs someone to ask a colleague, take the visit yourself, hand it over, book another time or turn the visitor away.

A visitor waits under Needs someone when they came for no one in particular, for a team nobody has taken yet, or for someone whose visitors go through their office.

  1. Go to ConsoleVisitorsNeeds someone. The longest waiting is first.

  2. Read the row: who the visitor asked for, who has been asked and what they answered.
  3. Open the visit and choose what to do under Who will they see?
  4. Ask someone: choose a person, or pass the visit to a team. Add A line for them (optional) and select Ask.
  5. Write down an answer: you phoned someone. Choose whose answer it is, note what they said and select Record the answer.
  6. Take it myself: their business is done at the desk. You become their host and they're let in.
  7. Or choose Book in for another time, Hand over to reception, a person or a team, or Turn away with a reason only staff see.

Good to Know

  • When someone answers, the row tells you what to say to the visitor, such as asking them to wait ten minutes.
  • You can ask anyone active in your directory, not only people who usually receive visitors.
  • A reason for turning someone away, and any note for the front desk, is never sent to the visitor.
  • Every question, answer and hand-over is on the visit's Timeline and in the audit trail.
  • The same list is on the Desk in the Agoo Workspace app.

If Something Goes Wrong

  • Nobody answers. Ask someone else, or phone them and use Write down an answer.
  • Nobody can see them today. Use Book in for another time rather than Turn away, so they leave with a new time.
  • The count on the tab stays amber. Someone is still waiting. Open the tab and work down the list.
