How Your Organisation's Settings Work

Branding, notifications and who hears what, your own domain and your SMS sender name, explained together.

This guide explains how it all fits together. For one job at a time, the short articles in this topic have the exact steps.

Branding

Put your logo, colours and welcome on the kiosk, passes, emails, booking pages and badges, and use your own domain.

Your visitors should feel they've arrived at your organisation, not at a software company. Branding puts your logo, colours and words on every screen and message they see.

Set it up in Console → Settings → Branding. Changes appear on kiosks, passes, emails and booking pages within moments, with no app update. Wallet passes follow your branding too.

Every tenant surface carries a small Powered by Agoo credit. Only white-label removes it: on Pro and Enterprise, from the kiosk.

Set Your Colours

  1. Upload your logo

Use an SVG or a PNG with a transparent background. Add a wide version for email headers, booking pages and the kiosk, and a square one for passes and small spaces. From Starter, the square logo is also the icon in the browser tab of your visitor pages, and on a phone's home screen if a visitor adds one there; without it, the tab shows Agoo's icon. Agoo sizes them for you and shows a preview on light and dark screens.

  2. Pick one brand colour

Enter a hex value, such as #0F6E6A. Agoo works out the rest of the palette: hover states, soft backgrounds and a version that reads well on dark screens.

  3. Check the contrast

Agoo checks your colour against the WCAG AA contrast standard. If text on it would be hard to read, for example a bright red that is too light for white text and too dark for black, it says so and suggests a deeper shade. You can keep your colour as chosen, but we recommend the adjusted one: some visitors are reading a kiosk in bright sun or with poor eyesight. If you keep yours, Agoo uses the deeper shade wherever text sits on your colour, so nothing is ever hard to read.

  4. Write your welcome

The kiosk's welcome line is the first thing visitors read. Keep it short. "Akwaaba to Grace Chapel International" or "Welcome to Volta Bank. Please check in here." both work. The welcome works on every plan; a background photo of your entrance is included from Growth.

  5. Choose where replies go

Emails to your visitors come from "Your organisation via Agoo". Add a reply-to address, such as your front desk's, so visitors' replies reach a person. You can also add Agoo's heritage strip under your email header.

Your Own Domain

Every organisation's visitor pages, such as passes, self check-in from posters, host approval links, booking pages and your request page, live at {your-name}.agoohq.com. On Starter and above you can put them on a domain of your own instead, such as visit.voltabank.example: add it in Console → Settings → Domains and point one CNAME record at domains.agoo.click, and Agoo issues the certificate. See Use your own domain.

White-Label (Pro and Enterprise)

White-label removes Agoo's name from the kiosk, so it shows only your brand. Emails still come from "Your organisation via Agoo".

On Pro and Enterprise you can also ask for a white-label mobile app, published under your name in the App Store and Google Play. It's provided on request, at a price agreed with your organisation (from GH₵25,000 set-up plus GH₵1,500 a month), and is planned. The Owner requests it with Request in Console → Settings → Billing; see Extras on request.

Notifications

Choose how Agoo reaches hosts, staff and visitors, by push in the Workspace app first, then SMS, WhatsApp and email, with fallbacks, quiet hours, lock-screen privacy and scheduled reports.

Agoo sends messages when something needs someone's attention: a visitor has arrived, a pass is ready, a booking is tomorrow, a parcel is waiting. You decide which channels it uses and in what order, in Console → Settings → Notifications.

One message fanned out to its channels, with a fallback when the first isn't delivered in time.

Channels

ChannelReachesNotes
PushStaff with the Workspace appAlways tried first. Free and unlimited on every plan. Fastest, and carries buttons such as Approve.

SMSAny phone, including feature phonesSent by Agoo. Included each month, then from your wallet.
WhatsAppAnyone on WhatsAppApproved message templates with buttons. Included from Growth; from your wallet on Starter.
EmailAnyone with an email addressSent by Agoo. Included each month by plan.

Actions in SMS, such as approving a visitor or confirming you're safe in a roll call, always use a link, not a reply. Links work on every network. They open your organisation's visitor pages, such as voltabank.agoohq.com or your own domain, without signing in.

WhatsApp messages come from Agoo's WhatsApp number, +233 50 450 5175, with your organisation's name in every message. Each message starts once Meta approves its template; until then, SMS carries it.

When visitors write back on WhatsApp

Visitors can reply to a WhatsApp message, for example to say they're running late. They get an automatic reply straight away, naming your organisation, and their message appears in Console → WhatsApp and the Workspace app for your team to answer (on Free, your team can read them and Agoo's team answers for you). Each reply your team sends counts as a WhatsApp message, and Owners and Admins are told by email and push when replies reach 80% of your monthly WhatsApp budget and when it's reached. See WhatsApp replies. For anything urgent, the reply tells them to contact you directly, so keep your organisation's phone number up to date.

Anyone who replies STOP gets no more WhatsApp messages from Agoo, from any organisation, until they reply START. Their passes and reminders then go by SMS or email instead, so they still arrive.

Push First

Everyone at your organisation who has Agoo Workspace on their iPhone, iPad or Android phone or tablet, with notifications allowed, gets their alerts there first. Visitors and guests don't have the app, so they never get pushes.

  • Delivered means on the phone. Each push carries a receipt that the phone sends back to Agoo the moment it arrives. If it doesn't come back in time, because the phone is off or has no signal, Agoo moves on to the person's next channel (WhatsApp, SMS or email), so nobody misses an alert. A push that did arrive isn't followed by a text, so you don't pay for one.
  • How long Agoo waits. The alert's move to the next channel time under Alerts to your team, or 5 minutes when it's set to Only if it fails. Roll call's "Are you safe?" moves on after 1 minute.
  • Answer from the lock screen. Hosts approve or decline a visitor, tell reception they're coming or ask the visitor to wait, and confirm a booking; security opens a held check-in; everyone on a roll call taps I'm safe. The phone asks for Face ID, Touch ID or your passcode first (on Android, your fingerprint, face unlock or screen lock).
  • Free and unlimited on every plan, Free included. Pushes never use your SMS or WhatsApp allowance or your wallet.
  • Each person decides. They can turn the app off for any alert in Account → Notifications, and see and remove the phones that get their notifications (up to 10). Signing out of the app stops that phone's notifications.

What a locked phone shows

By default a notification names the visitor ("Ama Owusu is here"), so a host knows at a glance. If who visits you is sensitive, as at a clinic or a counselling service, turn on Leave names out of the app's notifications under The Agoo app in Console → Settings → Notifications. Notifications then say "Your visitor is here" or "A visit needs your answer", and people see the name when they open Agoo. Security hold alerts then leave the name out by text, WhatsApp and email too.

Emergency roll calls come as Time Sensitive notifications, which break through Focus modes. Agoo has asked Apple for Critical Alerts, which also sound when a phone is on silent; until Apple grants them, roll calls sound like any other Time Sensitive notification.

What People Start With

Each person chooses for themselves in Account → Notifications. Until they do, they get your organisation's defaults. In Console → Settings → Notifications, under Alerts to your team, choose for each alert whether people start with SMS, Email or both:

AlertGoes to
A visitor has arrivedThe host
A visitor needs an answerThe host
A visitor needs someoneWhoever receives the visitor: the site's front desk, the person named, or the team's members until one of them takes it
Asked to see a waiting visitorThe person the front desk asks

A waiting visitor was takenThe others who were told about the visitor, so nobody answers twice
A visitor booked in for another timeWhoever the visitor will see at the new time
Bookings (four alerts)The host: a booking to answer, new, moved or cancelled
A parcel is waitingThe person a parcel is for, or each member of its team, with the code to collect it
A parcel is still waitingThe same people, until it's collected, as often and as many times as the deliveries settings say
A parcel was collectedWhoever logged it, when someone else hands it over, if the deliveries settings ask for it
A check-in is on holdThe site's security leads (or Owners and Admins if none)
A visitor gave a low scoreOwners and Admins, or each site's admins, as Settings → Feedback says
A barred vehicle at the gateThe site's security leads (or Owners and Admins if none), even in quiet hours (Vehicles)
A visitor wrote on WhatsAppWhoever on your team has the conversation, else the host (WhatsApp replies): the app first, then email
  • A person's own choice always wins. Once someone saves Account → Notifications, changing a default doesn't change theirs.
  • WhatsApp is always each person's choice. It's never switched on for them, so it isn't one of the defaults.
  • The five alerts about waiting visitors don't use WhatsApp. They go to the app, then by SMS or email, and WhatsApp isn't offered for them in Settings or in Account → Notifications. See Who a visit is for.
  • Each alert keeps SMS or email on, so nobody who hasn't chosen misses it.

Fallback Chains

A fallback chain is the order Agoo tries channels in, and when it moves to the next one. Set one for each alert under Alerts to your team, and one for passes, approvals and booking messages under Messages to visitors and guests.

  • Order: any order of WhatsApp, SMS and email. WhatsApp is only tried for people who chose it, and visitors get only the channels they asked for.
  • Move to the next channel: Only if it fails (the default), or when a message isn't delivered within 2, 5, 10, 15, 30 or 60 minutes.

Agoo moves on when a message fails, for example a wrong number or a WhatsApp number that isn't on WhatsApp, or when SMS or WhatsApp hasn't confirmed delivery in time. Email doesn't report delivery, so a chain moves on from email only if it fails. A late message isn't withdrawn, so someone may get both, and each is paid for as usual. Each message shows its delivery status per channel: queued, sent, delivered and, where the channel reports it, read.

If a messaging provider has a problem, Agoo may pause push, SMS or WhatsApp for a while. Messages then go by the next channel in your chain straight away, life-safety alerts included, and nothing is lost; Settings → Notifications says so while it lasts, and your settings stay as they are.

Push to the Workspace app always comes before the chain, for anyone with the app, on iPhone, iPad and Android. Roll call's "Are you safe?" always tries every channel it can, whatever the chains say.

People choose their own in Account → Notifications, in the Console or the Workspace app: whether each alert comes to the app, which of WhatsApp, SMS and email it uses after that, and their own quiet hours. For example, a host can choose WhatsApp instead of SMS. See Your profile and notifications.

Quiet Hours

Quiet hours hold alerts until they end, on the clock of the site the alert is about. Set them for your organisation under Quiet hours in Console → Settings → Notifications: they apply to people who haven't set their own. Security holds, roll calls and shift reminders always come through straight away.

When the Wallet Runs Out

When your allowance and wallet can't pay for an SMS or WhatsApp message, Agoo sends it by email instead. Turn off Send by email instead to skip such messages; each skipped message is recorded with the reason. Roll call always falls back.

Scheduled Reports

A scheduled report is an email with a day's or a week's visits in numbers: visits, visitors, walk-ins, no-shows, late arrivals, the typical visit and wait, the busiest day, hour and site, and who's on site now. It links to the same period in Reports, where you can see the rest and export it.

  1. Add a report

In Console → Settings → Notifications, under Scheduled reports, select Add a report.

  2. Choose when

Every day covers the day before; Every week covers the 7 days before, on the day you choose. Choose the hour it goes, on your organisation's clock, and one site or every site.

  3. Choose who gets it

Tick whole roles that can see visits, such as Security lead or Receptionist, and Owners and Admins by name. Then select Add the report.

  • Each person sees their own numbers. A report counts only what Reports shows that person: their sites, and visits within your plan's history.
  • Totals, no names. Reports never list visitors, hosts or companies, and have no attachment.
  • Anyone can stop one for themselves, from Account → Notifications or the link at the foot of each email. Owners and Admins see who stopped a report, and can't send it to them anyway.
  • Up to 20 reports an organisation. Changes are recorded in the audit trail.

Reports go by email. Reports by WhatsApp would need message templates approved by Meta, and aren't offered.

Use Your Own Domain

Put your passes, booking pages and other visitor pages on an address of your own, such as visit.voltabank.example, on Starter and above, with one DNS record and the certificate handled for you.

Every organisation's visitor pages live on its Agoo address, such as voltabank.agoohq.com. On paid plans you can put them on an address of your own instead, such as visit.voltabank.example or book.voltabank.example, so the links your visitors get carry your name from start to finish.

Your own domain covers all your visitor pages: passes, booking pages and the links to manage a booking, your request page, self check-in from posters, approval links and roll-call pages.

PlanYour own domain
FreeYour Agoo address only
Starter and GrowthOne domain for your visitor and booking pages
Pro and EnterpriseOne domain for your visitor and booking pages, and one for your tracked QR codes' short links

Before You Start

  • Who: Owners and Admins set it up.
  • A domain you own, and access to its DNS settings, or someone who has it: your IT team, your web designer or the company you bought the domain from. Agoo never needs access to your DNS.
  • A subdomain: choose one that isn't used for anything else, such as visit., book. or welcome. in front of your domain. The domain on its own, such as voltabank.example, can't be used: it usually carries your website and email, and it can't take the record Agoo needs.
  • Agoo's own addresses, such as anything ending in agoohq.com or agoo.click, can't be used.

Connect Your Domain

  1. Open Settings → Domains

Go to Console → Settings → Domains. Under your visitor and booking pages, enter the address you want, such as visit.voltabank.example, and add it. Its status is Waiting for DNS while Agoo waits for your DNS record.

  2. Add one DNS record

At your DNS provider, add a CNAME record:

TypeName (or host)Target (or value, points to)
CNAMEvisit (the part before your own domain)domains.agoo.click

Many providers add your domain to the name for you, so enter visit, not visit.voltabank.example. If the Console also shows TXT records, to prove the domain is yours or for its certificate, add each of them too, exactly as shown.

  3. Let Agoo check it

Agoo checks your record automatically. DNS changes usually show within minutes but can take a few hours. To check straight away, select Check now.

When the record is found, Agoo issues the security certificate for your domain, so your pages open over https://, and renews it automatically. The status becomes Live, and Owners and Admins are emailed that it's connected.

  4. Try it

Open a page on your domain, such as https://visit.voltabank.example/book, or send yourself a test invitation and open the pass.

StatusMeans
Waiting for DNSAgoo is waiting to find your DNS record and issue the certificate.
LiveYour domain is connected, and new links use it.
Couldn't verifyAgoo couldn't verify it, and says why. Fix the record at your DNS provider and select Check now. Owners and Admins are emailed when it fails.

What Changes When It's Active

  • New links use your domain: in invitations, passes, booking confirmations and reminders, approval links and the other messages Agoo sends, on booking pages' Copy link, and in the website snippet.
  • Your Agoo address keeps working. Links already sent with it, and your Agoo address itself, open the same pages as before.
  • Tracked QR codes keep their short link on agoo.click (or your own short-link domain on Pro and Enterprise), and still open your pages when they're scanned. Nothing needs reprinting.
  • Your branding stays as your plan allows, on every page.

If you've put a booking page on your website, copy its snippet again to use your domain; the old snippet keeps working. If your website has a Content Security Policy, allow frames from both addresses.

Remove or Change It

To use a different address, remove your domain and add the new one. Owners and Admins remove it in Console → Settings → Domains. New links go back to your Agoo address straight away. Then delete the CNAME record at your DNS provider.

On a Plan Without It

If your organisation moves to Free, your domain stays connected but stops being used for new links. Messages and new links use your Agoo address, and anyone who opens a link on your domain is sent to the same page on your Agoo address, so nothing already sent or printed breaks. Keep the DNS record in place for that. Move back to a paid plan and your domain is used again.

Questions

Can we use different domains for passes and booking pages?

No. One domain serves all your visitor and booking pages. On Pro and Enterprise you can add a second one, only for your tracked QR codes' short links.

Do we need to buy or upload a certificate?

No. Agoo issues the certificate when your domain is verified and renews it automatically.

Does this change where our emails come from?

No. Emails come from "Your organisation via Agoo", whatever your plan: see Branding.

It's still Pending after a few hours.

Check the record at your DNS provider: the type must be CNAME, the name your subdomain, and the target exactly domains.agoo.click. Remove any other record with the same name, and make sure any TXT records the Console shows are added. If your provider offers to proxy or forward the record, turn that off for this one. Then select Check now.

Still stuck? Write to us. Our support team can see the same status and records as you, and can run the check again for you without signing in to your organisation; your audit trail shows when they did.

Is it included in the price?

Yes, on Starter, Growth, Pro and Enterprise. There's nothing extra to pay.

SMS Sender ID

Send Agoo's SMS under your organisation's own name, such as VoltaBank, instead of Agoo's.

The sender ID is the name that appears in place of a phone number when an SMS arrives. By default, Agoo's messages arrive from Agoo's shared sender ID. With a custom sender ID, invitations, passes and arrival alerts arrive from your own name, such as VoltaBank or RidgeAcad, which people recognise and trust.

Cost by Plan

PlanCustom SMS sender ID
FreeNot available
StarterOn request, GH₵99 once
Growth, Pro, EnterpriseOn request

Rules for a Sender ID

  • Up to 11 characters.
  • Letters and numbers only. No spaces, punctuation or symbols. VoltaBank works; Volta Bank and Volta-Bank don't.
  • Clearly yours. Use your organisation's name or a recognisable short form of it. A sender ID that looks like another organisation, a bank you aren't, or a government agency is likely to be refused.

Why It Needs Approval

In Ghana, mobile networks only deliver SMS from sender IDs that have been registered and approved, to protect people from scam messages. Agoo sends SMS through a licensed SMS provider in Ghana, so we submit your sender ID for approval on your behalf. You don't need an SMS account of your own.

Request Your Sender ID

A sender ID is set up on request: Agoo's team registers it for you. An Owner or Admin asks for it.

  1. Contact Agoo support

Select the ? at the top of the Console, or contact us, with the sender ID you'd like and your organisation's registered name.

  2. Say why it's yours

If the sender ID isn't obviously your name, add a short note explaining the link, for example "RidgeAcad is short for Ridge Academy".

  3. Accept the quote, if you're on Starter

On Starter, a custom sender ID is a one-off GH₵99: Agoo sends a quote to accept in Console → Settings → Billing. On Growth and above, there's nothing to pay.

  4. Wait for approval

Agoo submits it to the networks and tells you when it's approved or refused. How long approval takes is up to the SMS provider and the networks, so don't plan a launch around a fixed date.

  5. Start sending

Once approved, new SMS go out under your sender ID automatically. Until then, everything keeps working under Agoo's sender ID, so you can start using Agoo straight away.

Good to Know

  • The sender ID is for SMS only. WhatsApp messages show your organisation's name differently, and emails come from your email settings. See Branding.

  • People can't reply to an alphanumeric sender ID. That's why actions in Agoo's SMS, such as approving a visitor, use short links.

  • Changing it later means a new request and a new approval.

  • Notifications: Channels, fallbacks and allowances.

  • Branding: Your logo, colours and domain.

  • Plans and limits: What each plan includes.
