This guide explains how it all fits together. For one job at a time, the short articles in this topic have the exact steps.
Calendars and Meeting Links
Keep your booking pages free of times you're busy, see every booking in your own calendar, and give each video booking its own Google Meet, Microsoft Teams or Zoom link.
Most people already keep their working day in Google Calendar or Outlook. Agoo works with that calendar in two ways, so your booking pages, your calendar and your guests always agree.
Two Ways to Bring Agoo into Your Calendar
| Private calendar link | Connected calendar | |
|---|---|---|
| Plans | Every plan, Free included | Starter, Growth, Pro and Enterprise |
| Your bookings in your calendar | Yes, with requests waiting for you marked "Requested" | Yes, once they're confirmed |
| Visitors you're expecting and approved leave | Yes | No |
| Busy times kept off your booking pages | No | Yes |
| Google Meet, Microsoft Teams and Zoom links | No (links you paste still show) | Yes, made for each video booking |
| How quickly changes show | When your calendar app next refreshes, which can take hours | Within minutes |
| Works with | Apple Calendar, Google Calendar, Outlook and most calendar apps | Google accounts, Microsoft 365, Outlook.com and iCloud; Zoom for links |
Many people use both: the private link to see their whole Agoo diary on their phone, and a connected calendar so nobody books them when they're busy.
Your plan decides which you have: the private calendar link on every plan, and connected calendars with meeting links from Starter. On Free, Account → Calendars shows your private calendar link.
What You Can Do
- Connect your calendar. Connect Google, Microsoft 365, Outlook.com or iCloud, choose the calendars that count for busy times, and choose the one where Agoo adds your bookings. Up to six connected accounts a person, Zoom included.
- Meet, Teams and Zoom links. Choose, for each booking type, how its video meeting is made. Agoo makes a new link for each video booking from the host's own account.
- Your private calendar link. Add your Agoo diary to any calendar app in one tap, and get a new link whenever you like.
- Calendar settings. Owners and Admins decide who may connect, which providers your organisation uses and how much Agoo's events say.
What Agoo Sees
Agoo asks Google, Microsoft and Zoom only for calendar and meeting access, never for your email, contacts, files or recordings. From the calendars you choose it keeps busy start and end times only: never the titles, people or descriptions of your own events. It only ever changes the events and meetings it added itself. The privacy notice has the details, and the Google, Microsoft and Zoom pages list each permission for your IT team.
Each person can disconnect whenever they like, and Agoo deletes their busy times at once (Disconnect). If something isn't working, see If connecting doesn't work.
Not Built Yet
These are designed and will follow; until then they don't happen:
-
Moving or deleting a booking's event in Google Calendar or Outlook doesn't change the booking in Agoo. Move or cancel it in Agoo, so the guest is told.
-
Meetings in your calendar with outside guests don't become visitor passes yet. Invite the guests from Agoo.
-
Your iPhone's or Android phone's own calendars can't be connected in the Agoo Workspace app yet. Connect Google or Microsoft in the Console, or use your private calendar link.
-
Leave and shifts aren't added to connected calendars yet. Your private calendar link shows approved leave.
-
Connect your calendar: Google, Microsoft 365, Outlook.com and Zoom.
-
Meet, Teams and Zoom links: A new link for every video booking.
-
Availability and closed days: Your hours, holidays and closed days.
Connect Your Calendar
Connect Google, Microsoft 365, Outlook.com, iCloud or Zoom, choose the calendars that count for busy times and the one where Agoo adds your bookings, and reconnect or disconnect whenever you need to.
Connect your calendar and two things happen. Your booking pages stop offering times when you're busy, and every booking you confirm appears in your own calendar. Connect Zoom too, and video bookings can get their own Zoom link (Meet, Teams and Zoom links).
Connected calendars are on Starter, Growth, Pro and Enterprise. Each person can connect up to six accounts: Google, Microsoft, iCloud and Zoom together, one connection for each account. On Free, Account → Calendars offers your private calendar link instead.
Before You Start
- Your organisation must allow it. Owners and Admins choose who may connect (everyone, only people who take bookings, or nobody) and which providers, in Calendar settings. A provider your organisation doesn't use isn't offered.
- It's your connection. If you work with more than one organisation on Agoo, you connect once. Each organisation uses your connection only as far as its own settings allow, adds only its own bookings, and sees only whether your calendar is connected and working, never what's in it.
- Which accounts work:
| Provider | Accounts | What Agoo uses it for |
|---|---|---|
| Google Workspace and personal Google (Gmail) accounts | Busy times, your bookings in your calendar, Google Meet links | |
| Microsoft | Microsoft 365 work and school accounts with an Outlook mailbox, and Outlook.com accounts | Busy times, your bookings in your calendar, Teams links (work and school accounts) |
| iCloud | Any Apple Account with iCloud Calendar (Apple Calendar on iPhone, iPad and Mac) | Busy times and your bookings in your calendar. iCloud makes no video links |
| Zoom | Any Zoom account | Zoom links for video bookings. Zoom has no calendar, so it adds no busy times |
Personal Outlook.com accounts get busy times and events, but Microsoft only makes Teams meetings for work and school accounts. iCloud connects differently: with an app-specific password you make in your Apple Account, rather than a sign-in screen (Connect iCloud Calendar).
Connect an Account
Open Account → Calendars
In the Console, open Account → Calendars (or Your calendars in the menu under your name). Under Connect a calendar, choose Google Calendar, Microsoft 365 (for Outlook.com too) or Zoom.
Read what Agoo will see and keep
A short sheet explains what Agoo reads and keeps (the table below), with a link to the privacy notice. For Google it also gives Agoo's promise to follow Google's rules on user data. Select Continue to Google (or Microsoft, or Zoom).
Sign in and allow access
Your browser goes to Google, Microsoft or Zoom. Choose the account and allow the access Agoo asks for. Leave every box ticked on Google's screen: see If you untick something.
Back in Agoo
You come back to Account → Calendars with a message that the account is connected. Its card says Getting your calendars ready for a moment, then Connected. Agoo has chosen sensible defaults: your main calendar counts for busy times, and, if you have nowhere yet, it's where Agoo adds your bookings. Your upcoming confirmed bookings are added to it straight away.
Connect iCloud Calendar
Apple doesn't offer a "sign in with Apple" for calendars. Instead, you make an app-specific password for Agoo in your Apple Account: a password just for Agoo, which you can revoke on its own at any time without changing your Apple Account password. Calendly and cal.com connect iCloud the same way.
Make an app-specific password
Sign in at account.apple.com, open Sign-In and Security, then App-Specific Passwords, and make a new one named Agoo. Apple shows it once, as four groups of four letters (like
abcd-efgh-ijkl-mnop): copy it. Your Apple Account needs two-factor authentication on, as it is for most accounts.Paste it into Agoo
In Account → Calendars, choose iCloud Calendar. Enter your Apple Account's email (often an @icloud.com address) and paste the app-specific password, then select Connect iCloud. Agoo checks both with iCloud straight away: if iCloud doesn't accept them, nothing is kept.
Choose your calendars
As with Google and Microsoft, Agoo lists your iCloud calendars and picks sensible ones; select Choose calendars to change which count for busy times and where your bookings go.
Agoo keeps the password locked away and never shows it again, and uses it only for your calendars. iCloud doesn't tell Agoo when something changes, so Agoo looks every 15 minutes, and again when someone opens a booking page and your busy times are more than ten minutes old. For video bookings, Agoo makes the link with Google Meet, Teams or Zoom if you've connected one, or uses your own link.
If you revoke the password at Apple, or Apple asks you to make new ones, the card says Reconnect: make a new app-specific password and paste it in. Disconnecting in Agoo deletes the password at once.
If it doesn't finish, see If connecting doesn't work.
What Agoo Sees and Keeps
| Agoo needs to | Why | What Agoo keeps |
|---|---|---|
| See your list of calendars | So you can choose which count and where bookings go | Each calendar's name and colour |
| See when you're busy | To keep busy times off your booking pages | Busy start and end times only, from the calendars you choose. Never titles, people or descriptions. Deleted a day after they end |
| Add, change and remove events | To put your confirmed bookings in your calendar, with Meet or Teams links | The IDs of the events Agoo added |
| Make, change and remove Zoom meetings | To give video bookings their own Zoom link | The IDs and links of the meetings Agoo made |
Agoo never asks for your email, contacts, files or recordings, and only ever changes the events and meetings it made. The tokens Google, Microsoft and Zoom give Agoo are encrypted and never shown to anyone, your Owners and Admins included. For the exact permissions, see Google, Microsoft and Zoom.
If you untick something
Google lets you untick parts of what an app asks for.
- Without your list of calendars or your free and busy times, Agoo can't work, so it keeps nothing and asks you to try again with both ticked.
- Without "View and edit events on all your calendars" (the events permission), the account is connected as Busy times only: your booking pages respect your calendar, but Agoo can't add your bookings to it or make Google Meet links. To fix it, select Let Agoo add events on the card and leave every box ticked.
Choose Your Calendars
Select Choose calendars on an account's card. Each calendar shows whether it's yours, one you can edit, one you can only see, or free and busy only, and has:
- Counts for busy times: switch it on for every calendar that should stop people booking you, such as your work calendar. Leave it off for calendars that shouldn't, such as a shared team calendar, someone else's calendar you can see, or a holidays calendar.
- Agoo adds your bookings here: choose one calendar, across all your accounts, that you can add events to. If you change it, your upcoming bookings move to the new calendar.
Select Save. Your booking pages use the new choice at once.
Busy Times On Your Booking Pages
Agoo takes every busy time in the calendars you chose off your booking pages, on top of your hours, notice, gaps and limits. Events shown as busy, tentative or out of office count; events shown as free don't. Agoo's own bookings never count twice.
- Changes usually arrive within seconds. Google and Microsoft tell Agoo when your calendar changes, and Agoo also looks again every 15 minutes in case a message goes astray. The account's card says which applies to you: "Changes in your calendar reach Agoo within moments" or "Agoo looks at your calendar every 15 minutes". When a booking page sees that a calendar hasn't been checked for a little while, it asks for a fresh look.
- Just added something? Select Look again now on the account's card.
- If Google or Microsoft can't be reached, your last busy times stand, and your booking page keeps working. If the connection itself stops working, they stand for a day, then the page uses Agoo's own rules until you reconnect.
Your Bookings In Your Calendar
When a booking with you is confirmed, Agoo adds it to the calendar you chose. Requests waiting for you to confirm aren't added until you confirm them.
- What the event says depends on your organisation's setting: the guest's name, the kind of booking and where (the default); their company as well; or only Agoo booking, with the time. Account → Calendars shows an example. Its description has the meeting link for a video booking and a link back to the booking in Agoo.
- When the booking changes, the event follows: it moves when the booking moves or goes to another host, and is removed when the booking is cancelled or declined.
- The guest isn't invited from your calendar. Agoo sends their confirmation, reminders and changes by SMS, WhatsApp or email, as it always does.
- Agoo only changes its own events. If you move or delete a booking's event in your calendar, the booking in Agoo doesn't change: move or cancel the booking in Agoo, so the guest is told. If you delete the event, Agoo adds it again the next time the booking changes.
What Each Status Means
| Status | What it means | What to do |
|---|---|---|
| Connected | Everything is working. | Nothing. |
| Getting your calendars ready | Agoo is reading your calendars for the first time. | Wait a moment. |
| No Outlook mailbox | This Microsoft account has no Outlook mailbox, so it has no calendar Agoo can use. Agoo stops using it. | Disconnect it and connect another account: see no Outlook mailbox. |
| Busy times only | Google's events permission was unticked: busy times work, but Agoo can't add bookings or Meet links. | Let Agoo add events and leave every box ticked. |
| Reconnect needed | Google, Microsoft or Zoom stopped accepting Agoo's access, for example after a password change or because Agoo was removed there. | Reconnect. |
| Needs your IT team | Your organisation's Google Workspace, Microsoft 365 or Zoom account only allows apps its IT team has approved. | See If your IT team approves apps. |
| Paused for a few minutes | Agoo has paused this provider while it fixes a problem. Nothing you connected is lost. | Nothing. The status page says more. |
| Disconnecting | Agoo is finishing your disconnect. | Nothing. |
Reconnect
When a connection needs reconnecting, Agoo emails you, at most once a week for a month, and the card says Reconnect needed with "Agoo can't reach your Google calendar" (or your Outlook calendar, or your Zoom account). Until you reconnect, your booking page goes by your hours alone, and video bookings use your own meeting link. Select Reconnect and go through the same steps with the same account, then check Choose calendars.
If Your IT Team Approves Apps
Many organisations let staff use only apps their IT team has approved. If Google, Microsoft or Zoom says Agoo needs an administrator's approval, the card says Needs your IT team and lists the steps to send them. Your IT team approves Agoo once, for everyone:
- Microsoft 365: see Approve Agoo for your whole organisation below.
- Google Workspace: an administrator opens the Google Admin console, goes to Security → Access and data control → API controls → Manage third-party app access, adds Agoo and sets it to Trusted.
- Zoom: your Zoom account's admin allows Agoo in the account's app settings.
Then select Connect again. The Google, Microsoft and Zoom pages list exactly what Agoo asks each for, for your IT team.
Approve Agoo for your whole organisation (Microsoft 365 admins)
A Microsoft 365 administrator can approve Agoo once for everyone in the organisation, before anyone connects or after someone sees Needs your IT team. There are two ways:
- In Agoo: an Owner or Admin who is also your organisation's Microsoft 365 global administrator opens Console → Settings → Calendars and chooses Approve for everyone at your organisation. Microsoft asks them to sign in and accept Agoo's permissions for the organisation, then they come back to Agoo.
- In the Microsoft Entra admin center: an administrator opens Enterprise applications → Agoo → Permissions and selects Grant admin consent for your organisation.
After that, staff connect their Outlook calendars without a consent screen, and anyone whose card said Needs your IT team selects Connect again. The permissions an administrator approves are listed on the Microsoft page.
Disconnect
Select Disconnect on the account's card. Keep Remove the events Agoo added (recommended) ticked to remove the upcoming events Agoo added (for Zoom, Remove the Zoom meetings Agoo made (recommended)); past ones stay as your history. Then confirm with Disconnect. Agoo:
- stops reading the account and deletes your busy times and list of calendars at once;
- gives up its access and keeps none of it. For iCloud, Agoo deletes the app-specific password at once; you can also revoke it in your Apple Account under Sign-In and Security → App-Specific Passwords. Google and Zoom withdraw it when Agoo asks. Microsoft doesn't let apps remove their own access, so the dialog links to your Microsoft account's app permissions, where you remove Agoo too: myaccount.microsoft.com for a work or school account, or account.live.com/consent/Manage for an Outlook.com account;
- stops adding your bookings to that account. If you have another connected calendar, your upcoming bookings move to it (choose which in Choose calendars). Otherwise your booking page goes by your hours alone, and video bookings use your own meeting link.
The card shows Disconnecting for a moment while Agoo tidies up, then disappears. You can connect the same account again whenever you like.
If you remove Agoo from inside Zoom (Manage → Added Apps in the Zoom App Marketplace), Agoo disconnects your Zoom account at once. If you remove it in your Google or Microsoft account instead, the card turns to Reconnect needed: disconnect it in Agoo to finish.
If Connecting Doesn't Work
When connecting doesn't finish, you come back to Account → Calendars with a message saying why. Nothing changes until it works.
| What Agoo says | What to do |
|---|---|
| Connecting … was cancelled, so nothing changed | You chose Cancel or closed the provider's page. Connect again whenever you're ready. |
| Leave every box ticked so Agoo can see when you're busy and list your calendars | You unticked a permission Agoo can't work without. Connect again and leave every box ticked. |
| … didn't let Agoo stay connected | Connect again and allow Agoo to keep access, so it can check your calendar while you're away. |
| Your organisation's IT team needs to approve Agoo in … first | See If your IT team approves apps. |
| You've connected 6 accounts, as many as one person can | Disconnect one you no longer use, then connect the new one. |
| That finished in a different browser from the one it started in | Start again in the browser you use for the Console. This can happen when a link opens inside another app. |
| That took too long | Start again, and finish signing in within a few minutes. |
| iCloud didn't accept that email and app-specific password | Check it's your Apple Account's email, and paste a newly made app-specific password (not your Apple Account password). Two-factor authentication must be on for your Apple Account. |
| That isn't an app-specific password | App-specific passwords are four groups of four letters, like abcd-efgh-ijkl-mnop. Make one in your Apple Account under Sign-In and Security. |
| … is paused for a few minutes while we fix a problem | Try again soon. The status page says more. |
| (Your organisation) doesn't allow Google Calendar (or Microsoft 365, iCloud or Zoom) | Your organisation has switched that provider off. An Owner or Admin can switch it on in Calendar settings. |
| Connected calendars come with Starter and up | Your plan has the private calendar link. Owners can change plan in Settings → Billing. |
A Microsoft account with no Outlook mailbox
Agoo reads and writes your calendar through your Outlook mailbox, so a Microsoft account needs one: Outlook.com, or Microsoft 365 with Exchange Online (most Microsoft 365 business plans include it). Some Microsoft accounts have none, such as an account made only for Teams or for Microsoft's developer tools, or a work account whose mailbox your organisation keeps on its own servers.
With such an account, the card says "This Microsoft account has no Outlook mailbox", and Agoo stops using it: no busy times, no events and no Teams links. Reconnecting the same account doesn't help. Instead:
- Select Disconnect on the card.
- Connect a Microsoft 365 account with Exchange Online, or an Outlook.com account, under Connect a calendar.
Not sure whether your work account has Exchange Online? Ask your IT team. Until you connect another calendar, your booking page goes by your hours alone.
Other things to check
-
A busy time still shows on your booking page. Open Choose calendars and check that the calendar Counts for busy times, and that the event isn't marked free in your calendar. Then select Look again now.
-
Bookings aren't appearing in your calendar. Check the card says "Bookings go to" a calendar. If it says "Choose where your bookings go", open Choose calendars and choose one under Agoo adds your bookings here. Requests waiting for you to confirm aren't added until you confirm them.
-
A calendar says "Agoo couldn't read this one last time". Agoo tries again on its own. If it stays, check you can still open that calendar, or switch it off for busy times.
-
The card says the account isn't used in your organisation. It says why: your organisation's plan, its Calendar settings, or a connection that needs reconnecting.
-
Meet, Teams and Zoom links: Choose how each booking type's video meeting is made.
-
Your private calendar link: Your Agoo diary in any calendar app, on every plan.
-
Calendar settings: For Owners and Admins.
-
For IT teams: What the Google, Microsoft and Zoom apps ask for, and how to approve or remove them.
Meet, Teams and Zoom Links
Choose how each booking type's video meeting is made, and Agoo makes a new Google Meet, Microsoft Teams or Zoom link for every video booking from the host's own account.
A video booking needs a link. You can paste one, as on every plan, or, from Starter, let Agoo make a new Google Meet, Microsoft Teams or Zoom meeting for every booking, from the host's own connected account. Each guest gets a link of their own, and nobody shares a standing room.
Choose How the Video Meeting Is Made
Open the booking type
Go to Console → Bookings → Booking types and open the type, or create one (Booking types).
Choose how the video meeting is made
Under Ways to meet, with Video call ticked, choose How the video meeting is made:
Choice The link each booking gets Plans A link The link pasted on the booking type, or else the host's own meeting link from Availability Every plan Google Meet A new Google Meet, made in the host's Google account Starter and above Microsoft Teams A new Teams meeting, made in the host's Microsoft 365 account Starter and above Zoom A new Zoom meeting, made in the host's Zoom account Starter and above Select Save. Bookings made from then on follow the new choice.
What Each Host Needs
Agoo makes the meeting in the host's own account, so each host connects the account once.
| Choice | The host needs | Good to know |
|---|---|---|
| Google Meet | A connected Google account, with the events permission (not Busy times only) | The Meet link goes on the booking's event in their Google calendar. If Agoo adds their bookings to a Microsoft calendar instead, it adds a short "Video link" event to their Google calendar to hold the meeting. |
| Microsoft Teams | A connected Microsoft 365 work or school account whose calendar allows Teams meetings | Outlook.com accounts can't make Teams links. If Agoo adds their bookings to a Google calendar, it adds a short "Video link" event to their Microsoft calendar to hold the meeting. |
| Zoom | A connected Zoom account | Agoo makes a scheduled Zoom meeting with the waiting room on and recording off. It never switches recording on. |
A host who hasn't connected that account gets their own meeting link on the booking instead. If they have no meeting link either, they add one to the booking with Add meeting link, as they would for any video booking without a link.
When the Link Is Made
- When the booking is confirmed. For a booking type where the host confirms each booking, that's when they select Confirm.
- When the booking moves, the meeting moves with it. When it's cancelled or declined, Agoo removes the meeting.
- On the host's side, the link is on the booking in Console → Bookings (Join on Google Meet, Join on Microsoft Teams or Join on Zoom), in the booking's event in their own calendar, and on the booking's page in the Workspace app, with a button to join. While it's being made, the booking says Agoo is making the Google Meet link (or Teams, or Zoom).
What Guests Receive
- Their confirmation names the meeting ("Join the video call on Google Meet") with its link. Agoo usually has the link within seconds; if it isn't ready in time, the confirmation says the link is on its way, and a second message brings it, by the channel the guest chose.
- Every reminder carries the link.
- Their booking's page shows Join on Google Meet (or Teams, or Zoom), or "Your Google Meet link is on its way; we'll send it" while it's being made.
- They join on the provider's own service, in the browser or its app, with no Agoo account. Agoo doesn't send them an invitation from the host's calendar.
When a Link Can't Be Made
Sometimes Google, Microsoft or Zoom can't make the meeting: the host's connection needs reconnecting, their account doesn't allow it, or the provider is having trouble. Agoo tries again for a while, then:
- the host is emailed, and the booking says We couldn't make the Google Meet link (or Teams, or Zoom);
- the host chooses Make a new link to try again, once the cause is fixed (for example after they Reconnect in Account → Calendars), or Add your own link to paste one;
- the guest never sees an error: their messages say the link will follow. Once a link is there, they're sent it.
| Why a link wasn't made | What the host does |
|---|---|
| Their connection says Reconnect needed | Reconnect in Account → Calendars, then Make a new link |
| Google shows Busy times only | Let Agoo add events on the card, leaving every box ticked, then Make a new link |
| A Teams link, with a personal Outlook.com account | Teams links need a work or school account. Connect one, or choose another way on the booking type |
| A Teams link, and their calendar doesn't allow Teams | Their IT team allows Teams meetings for their mailbox, or they use Add your own link |
| Google, Microsoft or Zoom is having trouble | Wait, then Make a new link. The status page says more |
If a meeting is deleted in Zoom
Zoom tells Agoo within moments when a host deletes a meeting Agoo made for an upcoming booking. The booking then shows that its link needs replacing: We couldn't make the Zoom link, with Make a new link (Agoo makes a new Zoom meeting) and Add your own link. You can also use Add meeting link on the booking, or Move it, which makes a new meeting. The guest's booking page says the link is on its way until there's a new one.
To avoid this, cancel or move bookings in Agoo rather than deleting their meetings in Zoom.
If an event is deleted in Google Calendar or Outlook
Deleting a booking's event in your calendar doesn't change the booking in Agoo, and Agoo adds the event again the next time the booking changes. Cancel or move bookings in Agoo, so the guest is told.
- Connect your calendar: Google, Microsoft 365, Outlook.com and Zoom.
- Booking types: Lengths, ways to meet, limits and the waitlist.
- Reminders and no-shows: What guests receive before the meeting.
Your Private Calendar Link
On every plan, add your Agoo diary (your bookings, the visitors you're expecting and your approved leave) to Apple Calendar, Google Calendar or Outlook, and get a new link whenever you like.
Your private calendar link shows your Agoo diary in the calendar app you already use, beside everything else in your day. It's on every plan, Free included, and you don't need to connect anything.
What It Shows
From 30 days ago to 180 days ahead:
- Bookings you take, including requests waiting for you to confirm, marked "Requested". A video booking carries its meeting link.
- Visitors you're expecting, whether you're their host or one of several.
- Your approved leave, as all-day events.
Each one says as much as your organisation allows: the guest's or visitor's name, the kind of booking and where (the usual setting); their company too; or only Agoo booking, Agoo visit and Out of office, with the times. It never shows anyone's phone number or email address. Each event links back to Agoo. A cancelled booking or visit is taken out of your calendar.
Add It to Your Calendar
Get your link
Open Account → Calendars in the Console. Under Your private calendar link, select Get your private link. You have one link for each organisation you work with.
Add it to your calendar app
Choose where it goes:
Calendar How Apple Calendar (iPhone, iPad, Mac) Select Add to Apple Calendar on that device, and confirm Subscribe. Google Calendar Select Add to Google Calendar, sign in to Google if asked, and confirm Add. Outlook.com Select Add to Outlook, sign in if asked, and confirm Import. Outlook for work, or another app Select Copy link. In Outlook, choose Add calendar, then From internet (Subscribe from web in Outlook on the web), paste the link and name it Agoo. Most other calendar apps have a similar "Subscribe" or "From URL" option. Your phone, from a computer Scan the QR code beside the link with your phone's camera, and confirm on the phone.
The calendar appears as Agoo · your organisation's name. Under the link, Agoo shows when it was last used and by which calendar app ("Last used: Google Calendar, 2 hours ago"), or "Not used by a calendar app yet", so you can tell it's working.
You can come back to Account → Calendars to copy the link or add it to another app. If the page ever says your link can't be shown again, select Get a new link; the old one stops working, so add the new one everywhere you use it.
How Quickly It Updates
Your calendar app decides when to fetch the link again. Agoo asks for every hour, but some apps take longer: Google Calendar can take many hours. So the link is for seeing your day. It doesn't stop people booking you when you're busy: for that, connect your calendar (Starter and above).
Keep It Private
Anyone who has your link can read your Agoo diary without signing in, so treat it like a key: don't paste it into shared documents or chats.
- If it may have been shared, select Get a new link. The old link stops working at once, and calendar apps that used it get nothing new. Add the new link to your calendar app again.
- To stop using it, select End link and confirm. Calendar apps that used it get nothing new, and you can get a new link later.
- It stops on its own when you leave the organisation, or if your organisation switches private links off in Calendar settings.
Your calendar app keeps its own copy of what it last fetched, held by that app's provider under its own terms. Remove the calendar in the app to delete it there.
- Connect your calendar: Busy times and bookings, from Starter.
- Calendars and meeting links: Which to use, and what Agoo sees.
Calendar Settings
For Owners and Admins. Decide who may connect calendars, which providers your organisation uses, how much Agoo's events say and whether private calendar links work, and see who has connected.
Each person connects their own calendar, but your organisation decides how it uses them. Owners and Admins set the rules in Console → Settings → Calendars; every change is recorded in the audit trail with what it was before and after.
The Settings
| Setting | Choices | Starts as |
|---|---|---|
| Who can connect | Everyone; People who take bookings (the hosts of your booking types); or Nobody | Everyone |
| Providers | Allow Google Calendar, Allow Microsoft 365, Allow iCloud and Allow Zoom, each on or off | All three |
| Detail in calendar events | Full: the guest's name and company, the booking type, and where or how you meet. Kind and name: the guest's name and the booking type, with no company, phone number or email. Times only: just Agoo booking and the time | Kind and name |
| Private calendar links | Let people use private links, on or off | On |
Each choice shows an example event, and Save applies them. Connected calendars and their settings are on Starter, Growth, Pro and Enterprise. On Free, the page says "Connected calendars come with Starter and up" and has only the Private calendar links switch.
Who can connect
Connections belong to people, not to your organisation: someone who works with two organisations on Agoo connects once. These settings decide what your organisation does with them. With Nobody, or a provider switched off, your organisation stops using those connections: no busy times from them on your booking pages, and no new events or meeting links for your bookings. Upcoming events Agoo added for your bookings are updated to match within minutes. The person's connection itself stays theirs.
Detail in calendar events
The level applies to the events Agoo adds to people's connected calendars, the topics of Zoom meetings it makes, and everyone's private calendar links. Choose Times only where even a name in a calendar would say too much, such as a clinic: events then say only Agoo booking, with no name of the person booked and no place. When you change the level, Agoo rewrites your organisation's upcoming events within minutes, and private links say the new level the next time calendar apps fetch them.
Private calendar links
Switching them off stops every private link in your organisation: calendar apps get nothing new from them. Switching them back on makes the same links work again.

Your people, in Console → Settings → Calendars, shows how many of your people have connected a calendar or Zoom (Connected), by provider, and how many Need to reconnect. Owners, Admins, HR and Site admins can see whether a person has connected (Google, Microsoft or Zoom, work or personal, and whether it's working) on their page in People. Nobody in your organisation can see what's in anyone's calendar, and Agoo's support team can't change anyone's connections.
Approve Agoo for Your Whole Organisation (Microsoft 365 Admins)
If your Microsoft 365 only lets staff use apps an administrator has approved, an Owner or Admin who is also your Microsoft 365 global administrator can approve Agoo for everyone from this page: choose Approve for everyone at your organisation, sign in to Microsoft and accept Agoo's permissions for the organisation. Your IT team can do the same in the Microsoft Entra admin center, under Enterprise applications → Agoo → Permissions → Grant admin consent for your organisation. After that, staff connect their Outlook calendars without a consent screen. See Approve Agoo for your whole organisation.
Video Meetings On Booking Types
Which booking types make Google Meet, Microsoft Teams or Zoom links is set on each booking type, by whoever manages it: see Meet, Teams and Zoom links. Before switching a type to a provider, check here that its hosts have connected that account.
- Connect your calendar: What each person does, step by step.
- Meet, Teams and Zoom links: How each booking type's video meeting is made.
- Roles and permissions: Who can change these settings.
