How Review Tools Work
The tools by level: invitations (WhatsApp and after payments too), the poster, widgets and review images, insights, AI drafts, the trial and Enterprise, the API and webhooks, and your data.

This guide explains how it all fits together. For one job at a time, the short articles in this topic have the exact steps.
Invite every customer to review you on Agoo Reviews, print the review poster, put your reviews on your website, read your insights, draft replies with AI and choose your emails.
Your page on Agoo Reviews comes with tools to ask for reviews and to understand them. If your organisation uses Agoo, they're in Console → Feedback → Public reviews, under Invitations, Insights and Widgets. If your business uses Agoo Reviews on its own, they're in your business area at agoo.reviews/business and in business mode in the Agoo Reviews apps (see Agoo Reviews on Its Own). None of them changes your page, your score, the order of your reviews or your place in search.
Which Tools You Have
Every Agoo plan includes a level of review tools for some of your branches. Every branch is listed free, and a branch without the paid tools has Basic.
| Your Agoo plan | Review tools | Branches with them |
|---|---|---|
| Free | Basic | Every branch |
| Starter | Reviews Plus | 1 |
| Growth | Reviews Business | 3 |
| Pro | Reviews Business | 10 |
| Enterprise | Reviews Business | No limit |
- More branches: add Advanced reviews · 10 places or · 50 places in Console → Settings → Billing, from Starter. On Free, add Reviews Plus first: it gives one branch the Plus tools without changing your plan, and then Advanced reviews can add more. Prices are on the pricing page.
- Choose the branches: Owners and Admins pick which branches get the tools in Invitations → Branches with the review tools. Until you choose, your oldest branches get them first.
- Who does what: everyone who can see your page reads the tools. Owners and Admins change the settings; Owners, Admins and Site admins send invitations (Site admins for their own sites) and reply to reviews. See Roles and permissions.
Agoo Reviews on Its Own
A business that doesn't use Agoo for its visitors chooses its own level on agoo.reviews. Every branch of the page has that level.
| Level | Email invitations a month | Texts, lists, after-sale links, one reminder | Insights | AI credits a month | API and webhooks |
|---|---|---|---|---|---|
| Basic | 50 (email) | No | Score, reviews, reply rate, waiting replies | None | Test key only |
| Reviews Plus | 1,000 (email) | Yes | Adds topics, trends, reply times, monthly report | 50 | Test key only |
| Reviews Business | 5,000, and WhatsApp from bundles | Yes | Adds the branch league table and your category | 300 | Yes |
| Reviews Enterprise | As Business, every branch | Yes | As Business, plus the competitor watch | As Business | Yes |
- Choosing and paying: the page's owner and managers choose Reviews Plus or Reviews Business, monthly or yearly (two months free), on Levels, and pay on Paystack by card or Mobile Money, with VAT, NHIL and GETFund shown before paying. More branches with the level's tools, SMS bundles for texts and, on Reviews Business, WhatsApp bundles are added there too. See Choose a Level of Review Tools.
- Receipts and renewals: each payment has a PDF receipt under Invoices. A card renews on the day; Mobile Money gets an invoice with reminders. A renewal that fails leaves 7 days to pay before the page moves to Basic.
- Moving and cancelling: moving up happens at once, with the unused days credited. Moving down, or Cancel at the period's end, waits for the period's end. A page that moves to Basic keeps every review, reply and setting.
- Never in the apps: levels are bought on agoo.reviews only. The apps show your level and its tools.
- Invitations go from Invitations: typed in, from a CSV list, as single-use after-sale links for receipts, or after each payment (below). See Send Review Invitations from Agoo Reviews. Nothing is sent between 21:00 and 07:00. With Reviews Business they can go on WhatsApp, from Agoo Reviews' number, from prepaid WhatsApp bundles (see WhatsApp).
- Try Reviews Plus free for 14 days, once per page, with no card: a reminder comes on day 11 and the page goes back to Basic by itself on day 14, with everything kept. See Try Reviews Plus Free for 14 Days.
- Reviews Enterprise, for banks, telcos, hospital groups and chains, is Reviews Business with no branch limit, sign-in through Agoo ID, your own roles, the competitor watch (up to 5 rivals, from public figures), the full API with your catalogue, a named contact and agreed reply times. It's priced on request, from GH₵2,500 a month as a guide. See Ask About Reviews Enterprise and Watch Your Competitors.
- Insights, AI drafts, messages and widgets work as described below, from Insights, Reviews and replies and QR, link and widgets.
- Every tool, with pictures of its screen, is on agoo.reviews/business/features, and agoo.reviews/business/getting-started walks from a free page to your first replies. agoo.reviews/business/compare sets Agoo Reviews beside Trustpilot, Feefo and Google reviews, with each fact's source.
With Reviews Business, a page on its own can use WhatsApp, from Agoo Reviews' number:
- Invitations: under Invitations → How They Go, tick WhatsApp and order the channels. A customer with a mobile number is invited on WhatsApp first, with the same words and link as everyone else, from a prepaid WhatsApp bundle bought under Levels (500 for GH₵179, 1,000 for GH₵349, 5,000 for GH₵1,590, excluding VAT, kept 12 months). With none left, invitations go by email, then by text. A customer who starts the chat from your poster's Review on WhatsApp costs nothing. There's no reminder on WhatsApp. If WhatsApp can't take a message and the customer gave an email address, it goes by email. See Invite Customers on WhatsApp.
- Alerts: each person on your team can turn on WhatsApp alerts under Team and alerts, on the confirmed mobile number of their Agoo Reviews account, beside their email alerts. See Get WhatsApp Alerts for New Reviews.
Both start once WhatsApp has approved Agoo's messages; until then invitations go by your next channel, and the page says so.
Reviews Written on WhatsApp
On every level, customers can also write their review inside WhatsApp, in a short chat with Agoo's number. It isn't a paid tool: it's one more way to write a review.
- How they start it: from Or review on WhatsApp on your poster (see below), by replying to a WhatsApp invitation, or by sending Agoo REVIEW and your page's or branch's six-character code.
- The chat: the branch if you have several, the stars, their words, a photo if they like, then the same declaration as on the website. Agoo tells them what happens next and links to their review.
- The same rules: the review is checked, labelled and moderated exactly as one written on the website. One from a WhatsApp invitation carries the invitation's label, and Paid visit after a payment. Their WhatsApp number is their account; staff and anyone who claimed your page are turned away as on the website.
- Nothing to set up beyond printing the poster with WhatsApp on it. You can't see who wrote on WhatsApp, and the chat is between the customer and Agoo.
See Write a Review on WhatsApp.
Invitations After Payments
Connect Paystack, or your till, Mobile Money or point-of-sale system, under Payments, and every customer who pays at that branch is invited, after a delay you choose (up to 48 hours). Their review shows Paid visit beside its label: your payment system reported the payment, and Agoo checked the message was really from it.
- Every payment, or none. You never choose which customers; you can only pause the whole connection.
- The usual rules apply: nobody who asked not to be asked, nobody invited in the last 90 days, and your month's invitations. Each payment counts once.
- What you see: each connection's payments of the last 30 days by what became of them, never a customer's contact.
- Reviews Business and Reviews Enterprise, up to 5 connections. See Connect a Payment Source and Pause or Disconnect a Payment Source; developers have the signing details.
Review Images
From Reviews Plus, turn a review into a branded picture under Review Images: choose the review, the size (Square, Story or Wide) and whether your page's address shows, then download or share it. It shows the reviewer's first name, the stars, the label, the words and your name, always as the review is now. Each picture's link works for 30 days. Sharing your own reviews, with the badge and a link back, is free on every level. See Make a Review Image to Share.
Invitations
Invite the people you serve to review the branch they used. You invite everyone or no one: nothing you set can pick out happy customers, and each time you invite, you tick a declaration:
I'm inviting every customer here, not choosing anyone by what they might say.
Choosing who to ask by what they might write breaks the rules of Agoo Reviews and the law on fair reviews. Never offer anything for a review, or for changing one.
After Visits and Bookings
Open Invitations
Go to Console → Feedback → Public reviews → Invitations. Owners and Admins change the settings under After visits and bookings.
Turn on what you want to invite
- After each check-out: every visitor whose visit checks out at a branch, with a phone number or email address, is invited once. Your own people never are.
- After each booking: every guest whose booking ends is invited once. An in-person booking is invited when its visit checks out.
Choose how long after
From 1 to 72 hours (3 by default): long enough to get home, soon enough to remember. Nothing goes in your quiet hours.
Choose the channels and their order
Email is always on. Add SMS (with Reviews Plus) and WhatsApp (with Reviews Business), and put them in the order to try: Agoo uses the first one it can reach the person on. WhatsApp goes only to visitors and guests who chose WhatsApp themselves, and only once Meta has approved the message; until then, invitations go by email and SMS.
Add the reminder
With Reviews Plus or Business, turn on One reminder: three days on, if the link hasn't been opened, on the same channel. Never more than one.
A review written through one of these invitations is labelled Verified visit, because Agoo's own record shows the visit or booking.
Customers Who Don't Check In
Under Invite customers, four ways, each with the declaration. A review through any of them is labelled Invited.
| Way | What you do | Level |
|---|---|---|
| Customers, one a line | Type or paste names with an email address or a Ghanaian mobile number, up to 500 at a time. They're invited straight away (outside your quiet hours). | Every level (Basic: email only, up to 50 at a time) |
| Invite everyone who visited | Pick a branch and the days, up to 14 days back. Every visit that checked out on those days is invited, never a chosen one. Useful before you turned invitations on, or on Basic, where they aren't automatic. | Every level |
| Upload a customer list | A CSV file exported from your till, booking or accounts system (below). | Plus and Business |
| Make after-sale links | Single-use links you hand to each customer yourself, on a receipt or an order email. Agoo sends nothing. | Plus and Business |
Your forwarding address (Plus and Business) is a fifth way: see below. On Reviews Business you can also invite from your own systems through the reviews API.
The customer list
Save the list as CSV (comma-separated; semicolons work too) with a heading row. Agoo finds the columns by their headings, in any order:
| Column | Headings it understands |
|---|---|
| Name | Name, Full name, Customer, Customer name, Client, Client name, Guest, First name |
| Email address | Email, E-mail, Email address, E-mail address, Mail |
| Mobile number | Phone, Mobile, Phone number, Mobile number, Telephone, Tel, Cell, WhatsApp, Contact, Number |
Name,Email,Phone
Ama Owusu,ama@coastline.example,024 123 4567
Kwame Mensah,kwame.mensah@voltabank.example,
Esi Darko,,020 555 0142
A list holds up to 5,000 customers and 2 MB. Each needs an email address or a Ghanaian mobile number (texts go only to numbers in Ghana), written any usual way. Rows without one are skipped and counted, and a customer who appears twice is invited once.
Your forwarding address
Owners and Admins turn on the forwarding address for one branch under Lists and links → Forwarding address. Copy it into the BCC of your receipts or booking emails: each customer the email went to is invited once, after the delay you chose.
- Agoo reads only who the email was sent to, never the message, and keeps nothing else.
- Out-of-office replies, bounces and mailing lists invite no one, and your customers never get a bounce because of Agoo.
- New address gives it a fresh address, and the old one stops at once. Turn off stops it; turning it on again gives a new address.
After-sale links
Choose the branch and how many (up to 500 at a time), then Copy all or download them. Each link works once, for 30 days. Links nobody has used can be cancelled.
Who Is Left Out
Agoo never invites:
- your organisation's own people, matched on their phone number or email;
- anyone your organisation invited in the last 90 days;
- anyone who asked not to be invited by you, or by every business;
- anyone at all at a service whose name reveals a health condition, because the message itself would say where someone was treated.
When you invite, Agoo says how many were invited and how many were left out, and why. A waiting invitation, or a link nobody has used, can be cancelled from Recent invitations.
How Many You Can Send
| Level | Email invitations a month | SMS | |
|---|---|---|---|
| Basic | 50, every email invitation counted | No | No |
| Reviews Plus | 1,000; invitations after check-outs and bookings aren't counted | Yes | No |
| Reviews Business | 5,000; invitations after check-outs and bookings aren't counted | Yes | To visitors who chose it, once Meta approves |
| Enterprise | Higher | Yes | As Business |
Texts and WhatsApp messages come from your plan's allowance, then bundles and your wallet. After-sale links have their own monthly number, the same as your email invitations. The page shows what's left this month.
What People See, and How They Stop It
The invitation names your organisation, the branch and when they came, and asks for an honest review, good or bad. It never mentions a reward. The link opens the branch's write page on agoo.reviews, which says which label the review will carry. From there, or from the message, anyone can choose Don't ask me again for your business or for every business on Agoo Reviews. Waiting invitations to them are then left unsent; the link they have still works if they want to write.
What You See
How your reviews were asked for shows totals only: invitations sent, opened and that became reviews. You never see which invitation became which review, and Recent invitations shows each one as waiting, sent, not sent (with why), stopped or cancelled, with a masked line such as "Ama O. · a•••@coastline.example". This protects people who leave honest reviews.
The Review Poster
A tracked QR code for a branch that opens the review form on agoo.reviews with that branch chosen. Put it on a counter, in a waiting room or by the door.
- Make it in Public reviews → Widgets → Review posters → Make a poster, from Public reviews → Sites on Agoo Reviews or a site in Settings → Sites, or in Console → QR codes → New → Review a branch. Each branch has one. If you remove a site, its poster ends with it; the branch and its reviews stay. Download it to print; its scans are counted like any tracked code.
- It never counts against your tracked QR codes, and needs no approval.
- Its label: anyone can scan a poster, so a review written from one carries the reviewer's own label (Phone confirmed or Email confirmed). Verified visit comes only from an invitation after a visit or booking.
- Review on WhatsApp: on agoo.reviews's own poster, tick Add Review on WhatsApp to add a second, smaller code that opens a chat with Agoo's number, with the branch's code printed for anyone who'd rather type it. See Print Your Review Poster.
- Its line for customers is optional: a thank-you, or where the branch is. Never offer anything for a review.
- If a branch comes off your page, its poster says it's no longer taking reviews.
Widgets
Put your reviews on your own website from Public reviews → Widgets.
| Widget | Shows | Level |
|---|---|---|
| Rating badge | Your score and number of reviews, linking to your page | Every level, free |
| Latest reviews | A strip of your newest reviews | Plus and Business |
| Carousel | Your newest reviews, one at a time | Plus and Business |
| Review form | People start a review on your website and post it on agoo.reviews | Plus and Business |
Choose the widget and the branch
The whole page shows every branch's reviews. A branch on Basic shows the rating badge whichever widget you choose.
Choose how it looks
Look: Light, Dark or Automatic (each visitor's own setting). Your colour (Plus and Business) is for buttons and links; stars stay gold. How many reviews: 1 to 12, newest first.
Copy the code
Script sizes the widget to fit. Paste it where the widget should go:
<div data-agoo-widget="badge" data-agoo-business="coastline-consult"></div> <script src="https://agoo.reviews/embed.js" async></script>Iframe only is for websites whose security settings block outside scripts. Change the height if it needs more room.
What every widget does, whatever you pay:
- Every star rating, newest first. No setting filters, hides or reorders reviews.
- No cookies and no tracking. A widget stores nothing on anyone's device, counts no one and doesn't pass on the page it's on.
- Always marked as reviews on Agoo, with a link to your page.
- No star markup for search engines. Search engines don't give stars to reviews a business shows about itself, so widgets don't ask for them; your page on agoo.reviews carries its own.
- The review form keeps what someone wrote for a day while they sign in on agoo.reviews to post it. Only the words are kept.
If Agoo pauses widgets, each one shows a plain link to your page until they're back.
Insights
Public reviews → Insights, for the whole page or one branch. Every score is the one agoo.reviews shows.
- Every level, free: your score and its trend, how many reviews, your reply rate, and the reviews waiting for a reply.
- Reviews Plus: twelve months of reviews, average stars, replies and your score at each month's end; What people mention, the topics in your reviews (see What Your Reviews Are About); Reply times (the median, and how many within a day and within a week); how your reviews were asked for; and the latest AI summary.
- Reviews Business: the branch league table (every branch ranked by its score, reviews in the last 90 days, change, reply rate, reply time and share of Verified visits; it never changes your score or the order readers see), and Your category, the average of other businesses in it. The benchmark shows only when at least five others have a score, so no one business can be read from it.
What Your Reviews Are About
From Reviews Plus, every published review is read for its topics: waiting, staff, price, cleanliness, payment, safety and the rest of one fixed list, each review's topics with whether it was positive, mixed or negative about them.
- Agoo counts, never the AI. For each topic, the AI gives a sentence copied from the review. Agoo checks the sentence is really there, or the topic isn't kept, and then counts the reviews itself for every number you see.
- You can check every number. Open a topic to see the reviews behind it, newest first, each with its sentence.
- Not enough reviews to say anything yet shows for a topic with fewer than 3 reviews in the period, so one review never reads as a trend.
- The period is 1, 3, 6 or 12 months, and the page says how many of its reviews have been read so far (usually within minutes of going live).
- When a review changes or is removed, it's read again or leaves the counts. When the topic list changes, earlier reviews are read again against it.
- A topic with a warning sign, such as safety, or care and treatment, is one to look at first.
- An AI summary's themes name these topics and carry Agoo's counts, never the model's.
- Topics are read for pages with Reviews Plus or Business at no extra cost: they use no AI credits. See See What Your Reviews Are About.
AI Reply Drafts and Summaries
With Reviews Plus or Business, for a branch with the tools, Agoo's AI helps you reply and understand:
- Draft with AI (1 AI credit), under a review's Reply: it fills the box with a draft. Add a note first if you like ("Thank her and say we've added a second teller at lunchtime").
- Summarise with AI (5 AI credits), on Insights: a summary of the last 12 months' reviews with their themes and a few suggestions. It needs at least 3 reviews in that time. When a review behind it is changed or removed afterwards, it says Some reviews changed since; make a new one and leaves its examples out.
Credits come from your plan's AI credits first, then your AI packs; if the AI can't answer, nothing is taken. A page on its own has 50 AI credits a month with Reviews Plus and 300 with Reviews Business, back on the 1st. See Draft a Reply with AI.
- A draft is only a draft. You read it, change it and post it yourself. The AI never posts anything.
- It plays fair. A draft never offers anything for a changed review and never gives a phone number, email or link; Agoo refuses one that does.
- It never sees who wrote a review, only the stars and words.
- Readers are told. For 12 months after you draft a reply with AI, your page says May use AI-assisted replies. Drafts and summaries are kept for a year.
Replies, Flags and Messages
Replying and flagging are free on every level; see What you can do.
When a reviewer allows it, Message the reviewer sends them a private message about their review, on every level. Agoo passes it on: you never see who they are, and they choose whether to answer. Up to 3 messages about one review, a week apart, and 20 a day for your page, with no links. See Message a Reviewer.
The API and Webhooks
Your own systems (a website, a till, a CRM) can read your reviews, reply and send invitations through the Reviews API.
- An Agoo organisation uses its API keys and webhooks from Console → Settings → Developers.
- A page on its own makes them in its business area under Developers: live keys and webhooks with Reviews Business, and a test key on every level. A test key reads your real reviews and checks every reply or invitation without saving or sending it, so nothing made up ever sits beside real reviews. See Connect Your Systems to Agoo Reviews.
- What a key may do: read reviews, scores (with Sorts Things Out), invitations, changes and cases; reply to reviews; invite customers and make links; and read and change your catalogue (What We Offer). It sees only your page and the branches you choose; a key limited to some branches can't change the catalogue.
- Events: a review published, changed or removed, a reply, a question published or answered, your facts changed, an item added, changed or removed, and a case opened, changed or closed, signed with your secret and retried if your endpoint is down.
- Catching up: the API lists every change since the last one you have, including what left your page, so a copy of your reviews stays right after an outage.
- The API reference, a quick start and webhook examples are at docs.agoohq.com.
Your Emails
| When | Who gets it | Level | |
|---|---|---|---|
| Weekly overview | Monday morning | People whose role can see Public reviews | Every level, free |
| Monthly report | The 1st of each month | The same people | Plus and Business |
The weekly overview has the week's new reviews, your score and the ones waiting for a reply. The monthly report has last month's trends, themes, reply times and your latest AI summary. Each has a one-click link to stop it; turn it back on in Insights → Your emails. Reviewers choose their own emails in one place, Emails from Agoo Reviews in their account on agoo.reviews: places they follow, replies to their reviews, messages from businesses, and a weekly roundup of their reviews that went live, which is off until they turn it on. Each email has a link that stops just that one.
Your Data
- Customers' contact details you give for invitations are sealed as they arrive, used only to send the invitation and its reminder, and deleted 30 days after the link ends.
- The record of each invitation is kept for a year by default; change it from 90 days to 2 years in Console → Settings → Data & privacy. It's in your organisation's full export, without contacts or links.
- Erasing a visitor removes their invitations' links and contact details.
- See the privacy notice and the data processing agreement.
